What is a Virtual Assistant?
A Virtual Assistant is an administrative professional that handles your office duties remotely.
Why would someone use a Virtual Assistant?
There are many reasons someone would use a Virtual Assistant. For instance when they have a special project that needs to be completed that they do not have the staff for. Also when they need some administrative, clerical or office help, but do not have the room to bring in a person into the office.
Why should I use a Virtual Assistant instead of hiring an employee or temp?
When you hire an employee and bring them into your office to work, your only expense is not their payroll. You will also have to pay part of their taxes and workman's comp insurance. You may also have to offer benefits such as health insurance, vacation and paid sick days. When you bring someone into the office, they are there with your important information, personal belongings and confidential data...if you are not in the office, can you trust that person? Temporary services are often way overpriced and have to charge more to cover their overhead, when in fact the temporary employee is often paid a very low salary, which in turn can sometimes effect the type of job they perform.
What kind of business would benefit from a Virtual Assistant?
Generally, small business benefit from the service of a VA. Companies that are just starting and possibly don't have office space set up yet are other great candidates. Professionals that do not regularly work out of an office, such as Real Estate professionals and salespeople are great examples. We have also found that Virtual Assistants can benefit large corporations for extra projects that their staff does not have the time for or knowledge of. There are no boundaries to the type of industry that can benefit from using a VA.
What is the process of working with a Virtual Assistant?
When you hire PBA, we ask you to sign a contract that simply outlines the scope of the project we will be working on for you. The contract will outline the time frame that the project will be
completed, the best method of communication, the rate that you will be charged, how often you will be invoiced and when that invoice will be due.
We have found that email correspondence is best used for communication, as it provides a record of all discussions, but we are also just a phone call away. We are available during regular business hours, as well as available evening and late night hours, depending on what you need done and if it requires a specific time frame.
When we begin working on your project, we log into a system called Myhours, it allows us to clock into and out of your project and send you a report along with your invoice of the exact times we started and finished working on your tasks each day. It also provides a breakdown of each task worked on, how long it took and how much it cost you for us to do that project for you. We have found this report has helped our clients tremendously in budgeting for future projects.
We send invoices via email once per week on Friday afternoons. We request payment within 14 days, unless advance details have been made. You may pay your invoice by credit card via paypal or by mailing a check.
